Background and Objectives:
Faced with the daily generation of countless correspondences, EDCO aimed to transition to a paperless work environment to lower operational costs and promote long-term sustainability. It needed to strengthen its digital infrastructure and boost institutional efficiency by embracing cutting-edge solutions for correspondence management. Ensuring seamless communication, collaboration, and adherence to international standards while maintaining cost efficiency and sustainability further emphasized the challenges associated with achieving a comprehensive digital transformation.
The project focused on enhancing operational efficiency and customer service by leveraging Intalio’s innovative technologies to address EDCO’s key objectives. These include automating inbound, outbound, memorandum, and decision-making procedures, as well as seamlessly integrating with EDCO’s existing systems. The initiative aimed to save time and effort, improve task distribution, and foster better departmental collaboration. Additionally, the system significantly improved tracking, ensuring prompt and accurate customer responses while maintaining compliance with SLAs.

Intalio addressed these challenges with a state-of-the-art solution which helped them achieve immediate benefits. It included the following cutting-edge modules:
- Intalio IAM: secured and centralized identity and access management by enabling organizations to control user permissions and safeguard sensitive information. It simplified the process of managing access rights across systems, ensuring that the right people have the right access while reducing security risks.
- Intalio Correspondence Tracking System: streamlined the management of inbound and outbound communications. It ensured that all correspondence was accurately recorded, easily accessible, and efficiently routed, reducing delays and enhancing organizational responsiveness.
- Intalio Viewer: provided users with seamless access to view, annotate, and collaborate on files directly from the web interface. Its intuitive interface allows users to quickly access and manage documents without the need for external applications, improving productivity and reducing complexity.

The deployment of this project for a large number of employees aiming to reach up to 5,000 when it will be rolled out to the entire EDCO sites within Jordan, was anticipated to drive significant transformation across EDCO’s operations. By automating correspondence tracking management, EDCO enhanced operational efficiency, enabling employees to focus on strategic tasks and improving productivity. The integration of advanced tools fostered seamless collaboration while transitioning to a paperless environment reduced costs and supported sustainability goals. This project also strengthened EDCO’s ability to deliver prompt and accurate customer service, ensuring SLA adherence and elevating customer satisfaction.
