General Overview
BPN Paribas Leasing Solutions was having a hard time handling misplace, lost, damaged, and unavailable documents. Therefore, it needed to accelerate the transformation of its leasing business to be more agile, increase efficiency and improve its relations with customers.
With the ambition to empower decision making and improve staff productivity, BNP Paribas LS knew they had to implement a new platform urgently, to better exploit and enhance content.
To maintain its high level of services, BNP Paribas Leasing Solutions chose Intalio to set up a cross-platform of Document Management & Analytics for a paperless environment at an international level.
This project was part of the BNP Paribas Leasing Solutions transformation plan over the horizon 2020, aiming to improve the operational efficiency and customer experience.
What did they need?
BNP Paribas Leasing Solutions realized the need to centralize its documents in a unified and secure repository, making them available for retrieval and viewing. For that reason, BNP Paribas LS required a state-of-the-art Document Management Solution capable of managing the entire lifecycle of its documents, with paperless environment, smart office and being able to get access to information, at any time and from anywhere.
Traditional business intelligence tools and text analysis were inefficient and can’t make sense of the information. BNP Paribas LS was looking for a comprehensive and long-term platform incorporating functionalities to capture, process, analyze, search and easily retrieve data from multiple information sources. BNP Paribas LS wanted to re-vamp its knowledge platform through analytics solution, to be able to analyze hundreds of millions of structured and unstructured information assets in real-time, with outstanding performance regardless of format.
Lowering the costs of managing and processing the client’s documents while guaranteeing security after granting access to all employees in different departments and branches, were the main challenges of the BNP Paribas LS.
Assuming the full control over data was the main goal of the BNP Paribas LS to transform random information into structured knowledge and improve overall workflow.

The overwhelming amount of information and documents pushed BNP Paribas LS to implement Intalio DMS system that can automate the process of sharing and viewing these documents, thusly providing its parties with the ability to seamlessly collaborate and exchange information online.
Intalio implemented a document management solution, integrated with BNP Paribas LS existing platform, scalable, customizable and fully featured, which enhanced the company’s procedures from capturing and imaging to processing, storage, and ultimately publishing documents. BNP Paribas LS was now able to add paper and electronic documents to the storage catalog with ease using integrated tools within the Intalio Document Management system. Uploading content can now be done while maintaining integrity, security, and quality.
Using both machine learning and rule-based automatic classification techniques, Intalio DMS system provided the capability to categorize content in filing plans. It also offered visual navigation allowing end users to view, access, and work with content without the need to install any application.
With Intalio DMS system, it’s now possible to locate any piece of information efficiently, reduce time and effort when searching for valuable documents within the BNP Paribas LS library. By adding advanced functions to the applications, BNP Paribas LS extended their reach beyond the standard search scope with advanced search capabilities.
Intalio installed Analytics solution and provided BNP Paribas LS with the ability to discover strategic information, targeted from linguistics and analytical treatment of various types of sources and data formats, internal and external, providing meaning and therefore value to content, and helping in decision making. Data visualization dashboards tools were also added to allow BNP Paribas LS monitor key business events and track activities using textual and visual data.
First, the deployment of the solution was targeted to document integration and management activities in the United Kingdom then was gradually generalized by enriching and extending the scope of use of the solution in several countries.
After Intalio Solutions Implementation
After the successful implementation of Intalio solutions, BNP Paribas LS was able to achieve its objectives related to automation, standardization, real-time and secured access to content. Management and organization of documents are done with easy and secure manipulation of data based on predefined roles and access rights. Capturing, indexing quality control, and publishing of existing physical documents are all automated.
No need to retrieve the initial paper document every time, employees are now provided with a simultaneous and instant access to documents at any time, regardless of location.
An easy to use interface is now available for the company with advanced search capabilities to better find the needed documents. The BNP Paribas leasing business became more agile while improving efficiency and increasing customers relationships.
Employees actions and tasks are closely monitored, and their productivity was improved by providing them the tools and content needed to better manage and circulate corporate information.
BNP Paribas LS are provided with a 360° view of electronic documents. The integrity and traceability of content was then ensured reducing risks and errors. IT costs were also decreased with the reduction of storage and file server requirements.
BNP Paribas LS can now analyze data and drive company-wide improvements and enhance their ROI. They can track metrics using the type of chart or dashboard that best suits their needs.
They can now analyze hundreds of millions of structured and unstructured contents in real-time and generate customizable graphics and reports for better decision making.
Results
Intalio implemented solutions covered around 1500 users at BNP Paribas LS and was deployed in 7 countries.
Interfaced with the BPM TIBCO and an IBM solution, Intalio solutions allow the integration, the management and the storage of the clients’ documents, whatever the incoming channel is (Mails, Fax…), and the availability for all employees to access it, regardless of their geographical location in the world.
