Intalio was proud to partner with Louvre Abu Dhabi in this transformative journey, delivering a customized Acquisition Management System (AMS) built on top of Intalio Case. The project started in September 2023 and was completed in July 2024

The Acquisition Management System automates the entire workflow, from the moment an external user submits a proposal to its review by Louvre’s internal teams, including Acquisition Officers, Curatorial Team (CT) Assistants, CT Managers, and the Supreme Council for Cultural Management (SCCM) Leadership. This digitization ensures transparency, minimizes errors, and expedites decision-making, allowing stakeholders to focus on high-priority tasks.

The proposed solution offered a range of features tailored to the needs of the Louvre Abu Dhabi:
- End-to-End Workflow Automation: External users, such as galleries or authorized agents, can submit artwork proposals through an external portal. Internally, Acquisition Officers and the Curatorial Team assess, validate, and approve proposals using predefined workflows, streamlining the entire process.
- Document Management & Dossier Archiving: All documents related to an artwork proposal, including artwork descriptions, ownership certificates, and condition reports, are securely stored and archived. The system automatically organizes these documents into a comprehensive dossier for easy retrieval.
- Role-Based Access & Notifications: Each user, whether an Acquisition Officer or part of SCCM Leadership, has role-specific access to tasks and data. Automated notifications keep all stakeholders informed at every stage, ensuring seamless communication.
- Dashboards & Reporting: The system’s dashboards provide real-time insights into the status of proposals, key performance indicators (KPIs), and financial summaries. Customizable reports help museum leadership make informed decisions quickly and effectively.
- Bilingual Interface & Security Compliance: The system supports both English and Arabic interfaces, ensuring accessibility for all Louvre stakeholders. Additionally, AMS adheres to the highest security standards, including ISO 27001 compliance, to ensure that data is protected at every level.
